Why this matters
The chart is built FROM your guest list, so nobody is typed twice, and it is
where your place cards and table numbers come from. It is also the thing the venue
and the caterer will both ask you for.
Do this
- Lay out the room
Add round and long tables, drag them where they go, and drag a table’s corner to size it — a head table for twelve is not the same object as a cake table.
- Add chairs for the ceremony
A row at a time. Chairs hold a place in the room, not a name: who sits where is a reception question, answered by the tables.
- Seat people
Click a table, then pick names from the unseated list. Searching a surname finds that family’s plus-ones too, so a party does not get split by accident.
- Send it out
Three downloads: the floor plan as a picture, the seating list as a spreadsheet (one row per person, with their table), and a table list with the seats still free.
You’ll know it worked when
The header reads “x of x seated” with no names left that you meant to seat.
If it doesn’t go to plan
Names missing from the unseated list? It reads your live guest list,
including plus-ones who have given their names, so anybody added since you last
looked is already there. If somebody is missing here, they are missing from the
guest list.
